Setting up the leave and overtime registration might seem a bit complicated. However, in Eitje, this is done in just two steps!
Set up contract types
It's good to know that by default, overtime is only tracked for employees with a fixed-hours contract. Leave is usually accrued on fixed-hours contract, but this can also be set up for other contract types.
You can find these settings in the menu in the top right corner. Go to 'Venue settings', then 'Financial', and choose 'Contracts'. You can adjust the settings for each different contract type.

For each contract type, you can specify:
Whether leave is accrued.
Whether this leave is accrued based on contracted hours or worked hours.
The conversion factor.
The leave factor.

Enter start date and start balance
If you want to start keeping track of the leave and/or overtime balance, you first need to activate this feature. This can be done immediately when you start using Eitje, or at a later time.
How to activate the balances?
In the main menu, navigate to 'Hours' and choose 'Overtime balance' (or 'Leave balance').
Click on the blue button 'Set a start balance'.
First you pick a start date: from this date, Eitje will calculate your team members' balance. All hours worked or leave taken before this date will be ignored. Tip: this is often the date you officially started registering hours in Eitje.
Enter the start balances if necessary: a team member might have build up balance before the registered start date. You can enter this value for each team member. This can be negative, positive, or simply 0, but needs to match the start date.
You may notice that you cannot enter an initial balance for every team member. This is because, by default, only employees with an hours-based contract accrue plus/minus or leave hours.
Note: If at a later time you want to add a start balance for a team member, you can also do this in ''Initial balance''. β οΈ Note: The start date applies to all team members. It is best to leave the date as it is.
