Clocked hours in the time registration

What happens to the clocking activities in the time registration?

This is what clocking activities look like in the time registration.


During the shift

As soon as team members clock in, a time entry appears in the time registration. As long as the shift is still ongoing, the clock keeps running.

You can end (clock out), or remove an ongoing activity from the time registration. You can do this both in the app and web version.


After clocking out

At the end of the shift, team members clock out. The worked hours appear in Eitje immediately and require approval. If rounding settings have been configured, the worked hours will be rounded accordingly. Before approving the registration, you can still manually adjust the start and end times.

⚠️ Note: When you start using the clocking system, it's recommended to disable the option for team members to edit their worked hours in the app. This helps prevent confusion in the time registration. See time registration settings.

Forgot to clock out

You may see the following warning message in the time registration:

"Automatically clocked out by the time clock."

This means the team member did not clock out. Based on your settings, they were automatically clocked out instead.

➡️ Check the clocking system settings.

The worked hours are set to 0 because Eitje cannot determine how long the team member actually worked. To prevent too many hours from being registered, Eitje automatically sets the end time equal to the start time, resulting in a total of 0 worked hours. Before approving, make sure to update the start and end times to reflect the actual hours worked.

If you don't want a specific team member to be clocked out automatically, you can change this in the settings.

'Scheduled' status

Hours with the status "Scheduled" instead of "Pending" are hours that have been copied from the schedule into the time registration. This allows them to be approved even if the team member doesn't use the clocking system or was unable to clock in or out on a particular occasion.

  • These hours can still be approved. If needed, update the worked times before approving the registration.

  • Was the shift not worked? You can either delete the time entry or set the end time equal to the start time, allowing you to approve it with 0 worked hours.


Labour cost of clocked hours

In the financial overview in the app, and in the revenue section in the time registration, you immediately see the labour costs of the shift, based on the current clocked hours. With this information, you can make instant adjustments if necessary.
