Availability template

Use a template for your availability.

Does your availability look more or less the same each week? In that case, you could use the availability template. You can create this template in the app or through your profile in the web version.

As an Admin or Manager, you can also create availability templates for your team members. To manage availability for your team, it's best to use the Team Availability page, which you can find under Availability in the top menu.

This article explains how to manage availability from a team member's profile. This is mainly useful for team members who want to manage their own availability.



Availability template in the web version

  1. At the top of the page, go to 'Team' and choose 'My profile'.
    As an Admin or Manager you can open any team member's profile instead.

  2. In the menu on the left, go to 'Availability'.

  3. In the top right, you find the option 'Template'. Click 'Edit'.

  4. First, you can indicate the number of shifts (days) you want to work per week. This is not mandatory.

  5. Then, add your availability for each day. Click 'Save' for each day before continuing.

  6. In case you select 'Partly available', you need to enter the timeframe in which you are unavailable.

  7. Add a comment.
    ⚠️ Note: It may be mandatory to add a comment when selecting the status 'Unavailable', depending on the availability settings.

  8. Make sure to click 'Save'!

Now use the template:

  • Go to 'Template' and choose 'Load'.

  • Choose the period you want to apply the template to.

  • If availability has already been submitted for this period, choose whether to overwrite it.


Availability template in the app

In the app, an Admin or Manager cannot create or use a template for other team members, only for their own availability status.

  1. Go to the planning section (clock icon, bottom left corner).

  2. Open 'Availability'.

  3. Tap the button 'View template'.

  4. First, indicate the preferred number of days you wish to work per week (not mandatory).

  5. Go through each day to set your standard availability. Add an explanation if you wish, and save.

  6. When done, tap 'Back to availability' and select the week you want to submit your availability for.

  7. Tap 'Load template'.

  8. You might be asked if you want to override existing availability, if anything was submitted before.
