An open shift is a shift that doesn’t yet have a team member assigned. You can easily recognise an open shift in the schedule by the white circle with red lining.
Pick up open shifts
What's convenient about open shifts, is that team members can decide to take these shifts. They can only do this in the Eitje app. All you need to do as a manager, is accept the request when it comes in (unless you enabled the automatic approval of pick-up requests in the schedule settings).
You can use the shift offering system in Eitje. When publishing an open shift we offer the open shift to team members, optionally with a notification, so they have the opportunity to take that shift.
Who can pick up an open shift?
Team members will be offered the open shift if they meet the following requirements:
They are part of the team of the shift, or have the same function.
They are not scheduled to work yet during those hours.
Where can team members find available open shifts?
If you offer open shifts, team members can find these in two places:
In Requests > Trade overview > Inbox.
In Shifts > Schedule > on the day with the open shift.
How do you recognise a request to work an open shift in the schedule?
When the open shift has been offered to team members, the shift gets a specific icon.
As soon as a team member indicates they want to work that open shift, you can see this in the schedule. Open shifts with a pending request will show an exclamation mark.
Open the open shift to see the request, and you can choose who you assign the open shift to. There can be multiple options if more than one team member has indicated they would want to work that shift.
Open shifts in 'Tasks'
In the top right corner in Eitje, you will find 'Tasks'. This gives you an overview of requests to work open shifts. From here it's easy to approve these requests.
Go to 'Tasks'.
Click 'Show all tasks'.
On the left, choose 'Traded and open shifts'.
Click on the request to see the details appear on the right.
Trade requests also show in this same overview.
Instead of approving the request you will also have the option to 'stop the pick-up. This will stop the system from offering that shift to team members.
