In the profile of team members, you can view and edit their personal information, see and adjust their availability, assign functions and skills, and keep track of contracts. From here, you can also add them to other teams or venues.
You cannot give a team member extra rights in their profile. This can be managed in the settings for 'Roles': click here for more information.
You can access a team member's profile under 'Team' at the top, then 'Team members'. Click on the team member to open that profile.
⚠️ Note: Only 'Admins' and 'Managers' have access to this information and are able to make changes.
Profile
When you open the team member's profile, you first see their basic information including their name, email, phone number, date of birth, and time clock PIN for the clocking system. Apart from that, you will find 3 (or 4) more options here:
Switch team member in the top left corner.
Click 'Edit' for more information on this team member, and to edit their data.
Choose 'Send message' to send this person a private message.
As long as the profile has not yet been activated by the team member, you will find the option to send the activation email. After they log in for the first time, their profile will be activated, and this option will disappear.
For more details, click 'Edit'. Here you can edit the basic information, as well as the following details:
Information: profile picture, contact number in case of emergency (ICE), labour costs per hour, and national ID number.
Address: the team member's home address.
Other: comment, external ID (e.g. HR integration), and bank account (IBAN). Lastly, you will find an option to opt out of clocking out automatically, if applicable (more information).
Availability
Go to 'Availability' in the menu on the left to see the availability the team member has submitted per week.
If needed, you can edit the team member's availability.
Select the week or click 'next' or 'previous'.
In the top right, you can see the preferred number of shifts (days) they wish to work that week.
You also find a template here to be able to submit availability quicker and easier for each week.

Functions
Functions allow you to keep track of who is able to take on specific tasks. It helps you schedule the right people as well.
In the profile you can see which functions and skills have been assigned to this team member. Use 'Options' on top to manage the skills.

Contracts
As an Admin, in the 'Contracts' section, you can view, create and manage the team member's contracts. A team member with the role 'Contracts' has access to this as well.
⚠️ Note: A team member with the role 'Manager' will not have access to this without the extra role 'Contracts'.
Click on the top contract line to open the current contract (see red frame in image below).

Teams
Navigate to 'Teams' in the menu on the left to manage which teams this team member should be part of. In case you work with more than one venue, you can do the same for the venues here.
